Meadow Hill Board of Directors Meeting February, 2011 The regular monthly meeting of the Board of Directors of Meadow Hill was called to order at 3:05 p.m. in the Clubhouse on Tuesday, February 15, 2011 by the president, John Goselin. A quorum was present with the following directors in attendance: J. Goselin, L. Weeks, R. Bouchard, L. Fillion, J.Trustey. C. Hannah, APM The following directors were absent: J. Harris The minutes of the January 18, 2011 meeting were approved as written by unanimous consent. Committee Reports- Elaine Strong- for grounds submitted her note for the March Lark regarding the proposal for the committee’s functioning and makeup for 2010-2011. The meeting held in January was well attended and positive in outcome with captains appointed for each village. Linda Fillion – for the welcoming committee stated that Arline Boyd U/O#18 was given a welcome package and given complimentary tickets # 13 and # 14. Owners Forum- U/O #242 M. Dubiell spoke of her concern for resolution of a water leakage problem related to the corrugated PVC on her deck area. Our maintenance dept. will do the repair work necessary with the owner being billed approximately $100-$200. U/O #272 K. Collins questioned why the decks could not be cleared of snow by the maintenance dept. She was referred to the Bylaws that this was not required and homeowners could choose to do it at their own responsibility. U/O # 74 M. Finnegan restated the need to observe the corrugated PVC at her unit and questioned a resource for cleaning after winter. U/O # 112 E. Strong stated that she felt it was up to the unit owners to clear their own decks as needed. The Maintenance Report- Work orders were reviewed. Capitol projects were reviewed. The update on paving was held for executive session. Treasurer’s report- R. Bouchard Treas.- reported that our regular deposit of $7,500 was made for January and our reserves are now $430,628.09. It was noted that we are over budget with $ 2,264.41 being spent for shoveling walks and snow removal to date. The Association Manager’s report- The calendar and correspondence were reviewed. A meeting with Turf Masters and our maintenance dept. will be scheduled to discuss the upcoming needs and to question lime needs. No paths will be cleared of snow over grass since this is a violation of our insurance guidelines. An article will be published in the Lark to clarify this issue. New Business- Clarification was given regarding maintenance for sun porches as owner responsibility however insurance loss will be covered under Meadow Hill’s insurance policy since the sun porches were built on the limited common element, Casualty loss on limited common element is covered under the Meadow Hill policy. However, this may change in the future based on Board decisions on “opt out” provisions of the law. Discussion was held on the new insurance laws for condo. coverage since July 2010. Betterment upgrades to your unit that may or may not be covered by the condo insurance policy. Discussion was tabled until after the condo. conference scheduled for March 12, 2011. A motion was made and seconded to have the fee for the Board’s attendance of the conference on Community Association Institute Certification held at the Aqua Turf March 12, 2011 covered by Meadow Hill. The motion passed unanimously. Cables for the gym equipment were authorized to be replaced. Restaurant gift cards will be purchased for our maintenance dept. Old Business- U/O # 24 spent $250.00 to have her roof raked of snow and requested that the Association reimburse her. A motion was made and seconded to not pay
