Board of Directors Meeting

The BOD met at 3pm to review possible changes made to M.H. by-laws and rules .The board will vote on these changes at our next BOD mtg. The changes will be presented to the owners at the annual meeting in June at which time they will be voted upon.
4pm
President C.Abbott spoke to owners present at the meeting and requested that they stand and identify themselves by name and unit number prior to speaking, they were also asked to keep their remarks to three minutes.
Owners Forum
G.Bixler, unit #153,- has issues with the siding “bubbling” and problems with his lawn.
M. Dubiel, unit# 242,-has complaints involving three of her neighbors:
1. “Heavy rocks” were installed by the side of her unit by a neighbor.
2. Next door neighbor has a “messy appearance” to her unit.
3. She feels the neighbor behind her unit is in violation of M.H. dog rules.
In general the owner feels many violations are taking place at M.H.
L. Fillion , unit #182 -asks for permission to install a new slider as a replacement for one that now exists.
M.Demay Unit # 90 -acting as the rental agent for the club house and Hollister House requested some clarification on rental contracts, specifically, renters moving furniture and the rule for the placement of refuse containers. The board also reiterated that the rental of the club house and Hollister House cannot be rented out to political or charitable functions.
J. Vollinger unit #97 brought to the board’s attention that the
fireplace in the club house is not up to “code” Questioned whether the metal smoke stacks will be painted. Darien and Tim have this on their agenda.
J.Wasserman Unit#77- presented the board landscaping plans for around her unit.
S.Tucker unit # 15- mentioned that the recent flooding from the river has caused an accumulation of debris along the pathway to the river. She suggested that owners might be willing to pick trash and, if so, there are barrels near the maintenance shed for the disposal of the trash.
Minutes of the previous meeting were read, corrected and approved.
Financials
The budget was reviewed.
We continue to add $8,000 to our reserve fund every month.
Our reserves are about $263,000 with another $25,000 soon to be added from siding money we are holding.
$100,000 was transferred from our money market account at Mutual of Omaha and two new accounts were opened in Glastonbury, as a way to better diversify our funds.
Managers Report
All catch basins have been cleaned.
The gardens down by the river will be rototilled beginning of May.
Request for a garden plot should be submitted to J.Vollinger by May 10th.
Darien is waiting for a price quote from Westside to deliver and spread mulch on common and private areas. Unit owners will be notified in advance of the delivery.
The dumpster on Hollister Way North will remain until XU has finished with the cleanup.
APM will investigate our auto insurance to determine if we should submit a claim regarding damage to a vehicle owned by unit owner #97 due to a collision with a MH vehicle.
APM will look into our general liability insurance to determine whether we need more coverage.
Darien will purchase new fence slats, with the board’s permission, to be erected near the pool.
New Business
Repairs will be started on units that were damaged due to “water damming” this winter.
Birds are making nests in the flue stacks. Cleaning of the stacks is the owner’s responsibility.
P.Roser, an electrician, will be changing the AC boxes.
Correspondence
Unit # 53 -requests that the retaining wall between his unit and unit #49 be checked for repairs.
Letter sent to the Lorezen group regarding the disposition of damages. MR. Lorezen has submitted a claim to his insurance (CNN) and CNN has asked APM for pictures.
Unit #168 – a motion was made and seconded that the owner be notified that she is in violation of MH rules and must remove the wire fence on her patio. All board members voted in favor of this motion.
A motion was made and seconded to accept the proposal by Constantine Paving to:
1. Repair the curbing area at the Hollister House and two areas of curbing at the club house.
2. To fill in cracks in the asphalt
3. To repair cracks on the tennis courts ( a temporary measure)
A total of $11,225
The board voted in favor of this motion.
Unit #139- the owners request to install a railing was approved
Unit #262- a decision was reached by the board to proceed with the pruning of the two pine trees across from the unit.
Unit # 133- a request for a motion detecting light installation was approved.
Unit #128-MH will repair seam damage in the immediate area of the window. MH has declined to paint all contiguous walls on the first floor of the unit as requested.
Three unit owners will be reimbursed $72.00 each for dusk to dawn motion detecting sensor lights.
Four owners will be reimbursed $24.00 each for dusk to dawn motion detecting sensor lights.
