Executive Board Meeting
May 16, 2018
Executive Session
The Executive Session was convened at 12:30pm by Manager Sheila Duncan at the Clubhouse, 1st Fl. A quorum was present with the following in attendance: Directors: C. Abbott, L. Abbott, E. Litke, L. Weeks, and N. Gordon, along with Manager S. Duncan.
Absent: C. Wanat.
The Executive Session was adjourned at 1:10pm,
Open Session
The Open Session was convened at 1:30pm at the Clubhouse 2nd Fl, with the following in attendance: Directors: L. Abbott, E. Litke, L. Weeks, and N. Gordon, along with Manager S. Duncan.
Absent: C. Abbott, C. Wanat.
Capital Projects and Work Orders
- Covert: AC project at the Clubhouse complete except for a few changes required by the Building Inspector. Tomorrow 60 yards of mulch will be delivered, all for owners’ use. Working on getting pool open.
Committee Reports
- Kolwicz, Amenities – Would like $100 for plants for planters in front of the Clubhouse.
- Kolwicz, R. Bouchard- Trees subcommittee of Landscaping – Four more trees to be removed. Would like $500, within budget for four trees to be planted to make up for some of trees being removed.
- Bouchard – Friends of the River – Bank near Maintenance, planted over the last few years looks great.
- Fillian – Welcoming Committee – Welcomed #191, #73
- Abbott – Nominating Committee- Anyone interested in a board position was encouraged to give a brief note to Larry regarding your history.
- Gordon – Grounds – Welcomed Kathy McCarthy Proulx and Mike Proulx to the Committee.
Owners’ Forum
- #314 Mike Proulx would like approval of shrubs he planted behind his garage.
- #314 Kathy McCarthy Proulx thanked Ed Litke for help getting unit changes approved by building inspector while they were in FL.
- #270 Kathleen Collins having problems with her address is it West or North. Response: Should be set/consistent by Town on deed and Post Office – try Town Clerk and Postmaster for official information.
- #122 Tom Lombardo – New fence behind patio set 18” off. Requests be reset and replaced by lattice which he will pay for.
President’s Report
Meadow Hill has never looked better, result of years of good work by Grounds Committee(s).
Financials
As of the end of March looks like we are approximately $11,000 under budget, yet about even based on items not yet paid or invoiced.
Manager’s Report
Directory should be distributed to all residents in next two weeks.
Pilera website up for Meadow Hill, now has minutes, accepting work orders, and you can view your account there. It can be reached from Imagineers website.
Old Business
- Gordon moved, L. Weeks 2nd – Bird feeder rule change to add Suet feeders. Not approved N. Gordon yes, L. Abbot, E. Litke, L. Weeks no.
New Business
- Abbott moved, E. Litke 2nd – to authorize $100 to amenities for plants for pots in front of Clubhouse. Approved unanimously.
- Abbott moved, E. Litke 2nd – to authorize $500 to Trees Subcommittee for four trees. Approved unanimously.
- Litke moved, L. Weeks 2nd – to approve planting of shrubs etc. by #314 behind garage near their unit. Approved unanimously.
- Litke moved, L. Abbot 2nd – to approve moving fence and replacing with lattice for #122, at #122 expense for lattice. Approved unanimously.
- Abbott moved , E. Litke 2nd – Change truck insurance to Arbella Ins @$2,200. Approved unanimously.
- Litke moved, N. Gordon 2nd – accept the bid of Constantine Sealing Service for crack filling @$1,363. Approved unanimously.
- Litke moved, L. Weeks 2nd – install railings on bridge over Meadow Drain, as close as reasonable to photo submitted by C. Abbott. Approved unanimously.
