Board of Directors Meeting
February, 2013

The regular monthly meeting of the Board of Directors of Meadow Hill was called to order at 3:05 p.m. in the Clubhouse on Tuesday, February 19, 2013 by the president, John Goselin.

A quorum was present with the following directors in attendance: J. Goselin, L. Weeks, L. Fillion, D. Faxon,  M. Finnegan, J. Trustey

M. Belcher, APM. E. Schaefer, APM

The minutes of the regular board meeting at 3pm, January 15, 2013 were approved as written by unanimous consent.

Committee Reports

Linda Fillion for the welcoming committee reported that the new owners at Unit # 314- David  and Carol Warner were welcomed with their package with tickets for a social committee function.

Maintenance Report

Work orders were reviewed.

Capital Projects were reviewed.

Owners Forum

U/O   #129 F. Kaplan questioned why the ramp entrance to the clubhouse was not cleared of snow .Reassurance was given that it would be done as soon as possible.

U/O   # J. Marcin stated her concern about the flooding of her slider area when snow plowing is done pushing snow over the stone wall into the back of her unit area. She is requesting the effort be made to avoid doing this in the future.

U/O   #57 A. D’Auria expressed her concern regarding the snow piled at the North entrance to Hollister Way and poor visibility to see oncoming traffic. She also stated concern for tree limbs that fall from our neighbor’s tree blocking the roadway. She was encouraged to notify APM at the times she notices these issues.

U/O   #193 S. Wilowski stated that she has lived at Meadow Hill for 25 years and never had a problem with her dogs before. She was referring to an incident documented on January 25, 2013. At that time, she dropped her dog’s leash when she could not hold her dog and the dog frightened other owners. The dog was observed to snarl and snap at another resident’s hand. APM was notified of the incident as was Glastonbury’s animal control officer. A letter of warning will be sent to the homeowner for not having control of her animal.

U/O   #272 K. Collins stated that she felt the letter of warning to the above owner should be deferred since she was experiencing difficult circumstances. It was decided that we must follow proper procedure for the situation and the safety of others.

Westside Landscapers gave an update on the work area at the dump area to clear the visible debris moving it to the left.  2 white pine trees will be planted by Westside to help screen the area.

Treasurers Report

David Faxon reported that our reserves totaled $465,931.00 as of the end of January.

He noted that our legal expenses were mounting.

Managers report-

The correspondence was reviewed.

A motion was made and seconded to pay the bill for Tim Wentzell P.E. for services rendered on the roads project. The motion passed unanimously.

A motion was made and seconded to deny U/O # 147 request for reimbursement for work on her hot water heater vent. The motion passed unanimously.

The calendar was reviewed.

Old Business

The Great Meadows Access agreement process will be continued informing them of our attorney’s proposal.

The road project/proposal continues to move forward with a meeting to be scheduled with Tim Wentzell to clarify the contract proposed.

New Business-

A motion was made and seconded to sign with Trugreen for fertilization. The motion passed unanimously.

The discussion on the Meadow Hill Main entrance sign was placed on hold for March.

A motion was made and seconded to go into executive session at 5:20 pm. The motion passed unanimously.

The BOD came out of executive session at 6:00 pm.

A motion was made and seconded to go forward with new flooring for the foyer of the clubhouse entrance not to exceed $1000.00. The motion passed unanimously.

A motion was made and seconded to adjourn the meeting at 6:15 pm. The motion passed unanimously.
