\n<\/strong>Meadow Hill Executive Board Meeting
\nSeptember 18, 2019<\/strong>\u00a0<\/strong><\/p>\n

Executive Session<\/u><\/strong><\/p>\n

The monthly Executive Board Meeting was called to order at 12:54 PM in Executive Session<\/p>\n

In attendance Sheila Duncan, Luther Weeks, Larry Abbott, Tom Lombardo, and Connie Liscomb<\/p>\n

Ed Litke was absent.<\/p>\n

Executive Session was adjourned at 1:20 PM<\/p>\n

Open Session<\/u><\/strong><\/p>\n

The Open Session was called to order at 1:30 PM with the Directors and Manager noted above present.<\/p>\n

Minutes<\/strong><\/p>\n

The minutes from the last month board meeting were unanimously approved by earlier email vote.<\/p>\n

President Remarks<\/strong><\/p>\n

Luther weeks stated that Bob Kolwicz was added to the maintenance committee and that Elaine Lembo was appointed as chairperson of the stables.<\/p>\n

Luther also mentioned that as discussed in last month meeting the board will hold group quarterly evening meetings. The dates will appear in The Lark and the first will be in October.<\/p>\n

Financial Reports<\/strong><\/p>\n

Larry Abbott reviewed<\/p>\n

Larry also stated that the budget committee held its first meeting yesterday for 2020 budget.<\/p>\n

Larry also read a thank you note from Ed Litke for all those that helped and supported the Refurbishment of the tennis\/pickleball courts<\/p>\n

OPEN MEETING<\/u><\/strong><\/p>\n

Maintenance \u2013Project List and workorder reviewed<\/p>\n

Committee Reports<\/u><\/strong><\/p>\n

Welcome Committee\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 <\/strong><\/p>\n

Linda Fillion\u00a0\u00a0 \u00a0\u00a0welcomed Gleora Davis and Al Karam to unit #67(email to Linda for correct spelling)<\/p>\n

Rules Committee<\/strong><\/p>\n

Luther mentioned that the Rules Committee will be reviewing and recommending new rules to the board later in the meeting.<\/p>\n

Friends of The River<\/strong><\/p>\n

Roger Bouchard \u00a0\u00a0 Friends of the River is requesting $500 to clear both sides of garden area. And $250 for new plants<\/p>\n

This amount is within the budget for this year.<\/p>\n

Budget request for 2020 has been submitted<\/p>\n

Tree Committee<\/strong><\/p>\n

Gene Flynn\u00a0 The budget requests for 2020 has been submitted in a 3 tiered planting and removal proposal<\/p>\n

Grounds Committee<\/strong><\/p>\n

Mike Prouix\u00a0\u00a0 small projects for the fall has been submitted<\/p>\n

Barn\/Stable<\/strong><\/p>\n

Elaine Lemko \u00a0\u00a0Request presented to install at horse owners expense a \u201cHot Wire\u201d inside the fenced area.\u00a0\u00a0 It will be powered by solar.<\/p>\n

Social Committee<\/strong><\/p>\n

Sandy O\u2019Leary\u00a0\u00a0 On Sunday Sept 22 Sports Day Outing will be held from 2 \u2013 4 PM at the tennis courts, pickleboard court, shuffle board and corn Hole<\/p>\n

A Halloween Party will be held on Oct 31st<\/sup><\/p>\n

A group is interested in starting a bingo night.\u00a0 Luther Weeks mentioned they should submit details in writing<\/p>\n

Open Forum<\/u><\/strong><\/p>\n

A couple of tree issue requests were presented<\/p>\n

Tree committee will inspect the one presented by Anne D\u2019auria\u2019s condo<\/p>\n

2nd<\/sup> request for tree near #147 will be put on regular schedule for spraying<\/p>\n

Managers Report<\/strong><\/p>\n

Sheila Duncan reviewed the calendar and correspondence<\/p>\n

Old Business<\/strong><\/p>\n

New Business<\/strong><\/p>\n

Luther Weeks moved to approve the request for \u201cHot Wire\u201d along fence for horses.\u00a0 Larry second\u00a0 \u00a0discussion: \u00a0Required to have warning signs at each end. \u00a0\u00a0\u00a0Unanimously approved<\/p>\n

Larry Abbott moved to have $750 approved for Friends of the River request. Connie second.\u00a0 Discussion: All being done is within the legal limits provided by the town.\u00a0 3 hours of maintenance staff will be required.\u00a0 Unanimously approved.<\/p>\n

Luther moved to have the pool closed on October 1st<\/sup>.\u00a0 Larry second\u00a0\u00a0 All approved<\/p>\n

Request for $4785.75 for fall trimming\u00a0\u00a0\u00a0\u00a0 All agree that we need 30 day review by board and will be tabled.<\/p>\n

Larry moved to have the tree Management plan request approved.\u00a0 Tom seconded.\u00a0 Discussion:\u00a0 Luther proposed to add that the proposal can be revised at any time.\u00a0 All approved<\/p>\n

Luther moved to approve the grounds committee proposal for mulch and seed. Connie second\u00a0 All approved<\/p>\n

Owners request\/variance :<\/p>\n

Unit # 262\u00a0 request for patio doors\u00a0 Luther moved to approve\u00a0 Larry second\u00a0\u00a0 All approved<\/p>\n

Unit 314\u00a0 to install French doors where window now exists\u00a0\u00a0 Luther amended and moved to approve with a hold harmless agreement\u00a0 Larry second\u00a0\u00a0 All approved<\/p>\n

Unit #193\u00a0 request for new front door and storm door.\u00a0 Larry moved to approve \u00a0\u00a0Luther second<\/p>\n

All approved<\/p>\n

New Rules<\/p>\n

Luther reviewed with changes and amendments<\/p>\n

Questions, comments and some edits and amendments were made<\/p>\n

Motion by Luther, second by Connie to accept rules with amendments to be sent to owners and approve at October meeting<\/p>\n

On September 9th<\/sup> a request for funding approval for topsoil and seeding was received from the grounds committee for a total estimate of $1435<\/p>\n
